How to set up a rental file (employee)?
Renting your apartment to an employee on a permanent contract reflects for landlords a question of stability and protection against unpaid rents.
However, regardless of the status, the tenant is asked to build a rental file with documents to provide.

What are the documents to be provided?
- Identity document or passport or residence permit
- Last three payslips
- Last tax notice
- Employment contract or employer's certificate specifying employment, remuneration, date of entry and duration of the probationary period
- Establishment Order or Certificate of Positioning for Public Servants
- Last three receipts of rent up to date of payment or certificate of accommodation or property tax
What documents must the guarantor provide?
- His employment contract or k-bis extract
- His identity document and proof of address (last 3 rent receipts or property tax notice)
- His last 3 payslips or his last 2 balance sheets (self-employed)
For employees or civil servants:
- Employment contract or employer's certificate indicating employment, remuneration, date of entry and duration of the probationary period
- Establishment Order (or Placement Certificate for Public Servants)
- Tax packages N-1 and N-2
- Proof of activity Extract K or K Bis of less than 3 months, professional card, registration in the directory of trades and registration URSAFF
- Last three pension reports

What documents are not required?
Pursuant to the laws of 6 July 1989 and 17 January 2002, the owner is not entitled to demand certain documents, considered too confidential, such as:
- Photo portrait, VITALE card
- Photocopy of bank account
- Certificate of proper maintenance of the bank account
- Certificate of no credit, authorization of direct debit
- Marriage contract or cohabitation certificate
- Personal medical record
- Criminal record extract
- Extract from the family record book
- Any financial proof intended to reserve or guarantee your accommodation
Is it mandatory to have a guarantor ?
Having a guarantor is not mandatory but may be required.
In the context of the rental, the guarantor is the person who acts as surety for the tenant. In the event of default, this person will have to answer for the debt himself.
If you do not have the opportunity to find a guarantor who meets these criteria in your entourage, know that alternative solutions exist. This is the case of Action Logement's Visale guarantee, a rental deposit guaranteeing unpaid rents.
The Visale guarantee is reserved for tenants under 30 years of age, employees of private companies whose net salary is less than or equal to €1,500, private sector employees on professional transfer or tenants who have signed a mobility lease.
If you cannot benefit from the Visal guarantee, you can use an online guarantor, such as Garantme, allowing tenants to self-insure or have a certificate from a bank proving that they are good payers. It is also possible to use surety organizations or to use the bank guarantee.
